How do I remove gaps in the lot numbers of my child entities' names after archiving entities?

Issue

The lot counter in the child entities' naming template does not reset if user archives samples.

e.g. User registered 11 cell lines, then unregistered and archived them. The next cell lines user registers will have lot numbers 12, 13, 14, 15 instead of 1, 2, 3, 4.

Cause

Archived child entities with parent links retain their lot numbers and affect subsequent lot numbering

Simply unchecking and rechecking the parent link field does not resolve the issue because this step will reset the lot numbers INCLUDING the archived/unregistered entities - so at the end, it will seem like no change has been made through this step

 

Resolution steps

1. Search for the archived child entity and unarchive it in order to make edits
2. Remove the entity that is parent linked - If this field is required, you can assign a new entity as the parent link
3. Rename the archived child entity to avoid name duplicates

(Steps 1, 2, 3 can also be done in bulk via the Update Entities functionality)

4. In the child entity schema, uncheck the parent link field, save changes, re-check the parent link field, and save changes.

The lot numbers will reset disregarding the archived (unlinked) child entities.
