Overview

The Project Level Data Modifications feature enables users to capture data modification rationale for specific projects, disable it entirely, or enable it tenant-wide. This flexibility supports performing both non-GxP and GxP projects within a single tenant, facilitating collaboration across teams with varying data integrity needs.

Purpose

The purpose of this feature is to allow tenant admins to control data modification settings at a granular level. This enables users to maintain high data integrity across both non-GxP and GxP work within a single tenant.

Key Benefits

  • Granular Control: Configure data modifications at the project level, tenant-wide, or disable them completely.
  • Enhanced Collaboration: Support for non-GxP and GxP projects within a single tenant.
  • Customizable Rationale Codes: Tenant admins can configure reason codes and decide whether the comment box for end users should be optional or required.

Permissions

  • Available to tenant admins with Org Admin access in the TAC console under the “Settings” tab > “Data Modifications” tab.
  • Available to all CI/CD customers and GxP Validated Cloud customers.

Configuring & Using

Configuration

This feature is automatically enabled for all customers. If you do not have access to this feature, please contact your Customer Success Manager. Tenant admins can access this feature within the Tenant Admin Console (TAC).

How to Use

1. Access the TAC Console:

    • Go to Settings.
    • Select the Data Modifications tab.

2. Select an Option:

    • Disabled: Data modifications are disabled across the tenant.
      Example: Suitable for non-GxP research customers not requiring enhanced data integrity or system controls.
    • Enabled for Tenant: Data modifications are enabled across the tenant.
      Example: Ideal for GxP customers needing high data integrity for all GxP projects.
    • Enabled for Specific Projects: Data modifications are enabled only for selected projects.
      Example: Useful for customers needing data integrity for certain projects (e.g., some GxP projects require data mods, while some non-GxP research projects do not).

3. Enable Data Modifications for Specific Projects:

    • Select Enabled for specific projects.
    • Choose the projects from the dropdown menu to enable data modifications.
    • Add reasons for data modifications by clicking the “+” icon, typing in a rationale, and clicking '“enter” or check mark icon.

4. Configure Project Movement Settings:

    • Navigate to the Moving Items between Projects with Different Data Modification Rationale Settings section.
    • Select behaviors for:
      • Allowing or preventing objects moving from Enabled Projects to Disabled Projects (e.g., from a data mods enabled GxP project to a disabled non-GxP project).
      • Allowing or preventing objects moving from Disabled Projects to Enabled Projects (e.g., from a disabled non-GxP project to an enabled GxP project).
    • If these options are unchecked, users will receive an error banner in the project movement modal, and the move will be prevented:

5. Save Settings:

    • Click Save at the top of the screen.

Product Caveats and Limitations

  • Tenant admin must have Org Admin permission to view all projects.
  • Data modifications do not apply to API data changes.
  • Cannot configure project-level data mods at the Folder/Subfolder level.
  • Browser refresh is required to reflect new settings.
  • Same reason codes and comment box settings apply to all selected projects.
  • Special characters in reason codes are not supported yet.
